NEXTGEN2 - COPYING AND PASTING LARGE TABLES & TEXT FROM WORD TO NEXTGEN2

INTRODUCTION    
The fastest way to paste large tables or two-column text is to convert the information in Word to a table and paste the whole table at once, rather than line by line. 

  









Below we cover how to:

1. Convert a 2 column tabbed text layout to a table and copy it

2. Insert the copied information into NextGen2 as a Table

   

 1. CONVERT A 2 COLUMN TABBED TEXT LAYOUT TO A TABLE

Before you paste the table into Nextgen2 it must be in the right format in Word and have any highlighting or formatting removed.


In your Word document, convert the two column tabbed text to a table, if it is not already a table. 

   

 

 This is done by using the mouse to highlight the text. 

   

In Word

SELECT  »  TAB  »  TABLE  »  INSERT TABLE

 

This will automatically format the tabbed text into a table with a border.
   

 

At this point, remove any highlighting, or formatting of text. Select the whole table, right click and select the “A” icon. 

   

To copy the table; 

Select the + sign icon at the top of the table as per the diagram.

Ctrl +C to copy. 

   

 2. INSERT THE INFORMATION INTO NEXTGEN2 AS A COMPLETE TABLE

In NextGen2, start by inserting a new clause into the specification exactly where you want the new information to go. (Refer to the Training Guide for Inserting a New Clause). 



• Choose the Custom Clause option; type in a placeholder title (ie New). 

• Click Save Clause 

DO NOT PASTE TEXT INTO THIS BOX YET

 

 
   

The specification will update and the new clause will be added ready for editing.     

Click on the space under the word NEW, which will be the blank text box. 

Click the Word paste icon on the tool bar – recognised by the W. 

   

The table will be pasted directly into the text box ready for formatting for the specification.

   

THE DOCUMENT MUST SAVE AT THIS POINT BEFORE CONTINUING


Once that has been done, you can then click the Refresh button on the top tool bar and it will reformat the table to left align. 

 

   

Finish editing the table as you need. Copy and paste or type in your clause title. You are now finished and can proceed to the next table.
