TIME SAVING TIPS – MANAGING WORK SECTION UPDATES THIS MONTH.

 

We have mapped out some suggested work flow procedures to ensure that you manage updates efficiently throughout the practice. Here are a couple of suggestions for you:

 

NextGen2 Users

 

If you are not issuing this month...

Don’t panic! Leave the updates till you are ready to issue. Continue on as usual.

If you are issuing this month...

To ensure you maintain the connection with MasterKey, run the Update Manager and apply the changes to clauses as necessary.
Remember that the Update Manager replaces all the text within a clause so if you have already customised it, you will need to note the required changes, then edit your clause manually.

If you have Office Master templates

Run the Update Manager as soon as you can to ensure that the work sections are up to date for users.

 

On a side note, we recommend that you read Masterspec Notes this month to understand why the changes have been made and what effect that has on your specification and your project.

 

If your practice is currently still using the Link (Word) version of Masterspec, updating may mean a substantial amount of work on any existing specifications that are in your work flow. We suggest you follow the following process:

 

Link (Word) Users

 

 

Whether you are or aren’t issuing your specification this month;

It is still necessary to review the changes to the legislation and understand what they might mean to your specification. Go here for a summary of those changes to Codes and Standards. You can check all the sections that have changed at this link - we suggest that you print your specification's Table of Contents and, comparing this with the Masterspec master list, highlight any work sections that are effected.

If you have made changes to your specification

You'll need to compare the new work section with your current work section and copy the changes across to your documentation.


To do this go to the Masterspec Online system at  https://online.masterspec.co.nz/Utility-Pages/Login-6495.htm and log in to the system using your current Masterspec Login details.


Here you will find, on the right-hand side panel, the list of recently updated work sections. When you click any orange link a "View the Changes" pop-up window will appear for that section. Any changes to the work section are highlighted - red strike-through text is deleted text and yellow highlighted text is new text to be inserted into the work section.


Use this as a guide to edit your work sections in Masterspec Link. You maybe able to copy and paste text from the Masterspec online pop-up directly into your Link document (paste as plain text).


If you are not issuing this month and have not yet made any changes or edits to a work section

Apply a full section replacement and delete the old work section.

 

To avoid this in the future, it makes sense to move your teams across to the Masterspec NextGen2 system. With Nextgen2's automatic alert system, the first and second step in the above process would have been averted.
